Last week, we reported that Microsoft is working on a new cloud-based print solution is called Universal Print. Today, Microsoft officially announced Universal Print, a cloud-based print infrastructure that will enable a simple, rich and secure print experience for users and help reduce time and effort for IT.

Right now, large organizations deploy Print Servers which connects printers with client computers over a network. Print Servers manages the jobs initiated by users based on the printer availability. The new Universal Print moves Print Server functionality to the cloud, so organizations no longer need on-premises print servers.
Also, organizations do not need to install printer drivers on devices.

Microsoft Universal Print: Time to replace your printer servers with the cloud

Google may be shutting down its cloud printing service at the end of 2020, but organisations will be able to start using the Universal Print service in Microsoft 365 that was announced earlier this year and is now in public preview.

The cloud printing service is designed to help Microsoft customers move to the cloud without needing to keep multiple dedicated Windows Server installations to run the somewhat cumbersome Hybrid Cloud Print. Instead, it runs entirely on Azure and uses Azure AD, with no local infrastructure required in most cases.
The print queue is stored in your Office 365 tenant, the printer management API uses the Microsoft Graph and the print job is sent to and pulled from the service using the standards-based Internet Printing Protocol (IPP).

Protocols not drivers
Universal Print will work best with printers that have native support for the protocol it uses. Canon and Lexmark will be releasing firmware updates later this year to add the protocol to existing printers that are currently in market and other manufacturers will be announcing support at Inspire this week. Other printers can still be used with the service, but will need a proxy connector.

Using Azure AD and Microsoft 365 as the basis of the service means you're using the same identity and authentication for connecting to printers as you use for Office, OneDrive and other Microsoft services.

"Print jobs are encrypted at rest, with an option for tenant-provided encryption keys. The service enforces strong authentication of users and printers, with the Azure AD identity platform that provides enterprise-level security service with things like Single Sign On and multi-factor authentication."

Back in March 2020, Microsoft announced the private preview of Universal Print, its cloud-based printing solution.
It essentially moves Windows Server print functionality to the cloud, which means that as long as you have a Universal Print-capable printer, you don't need to worry about other infrastructure or even printer driver updates. The service became generally available for Microsoft 365 customers just a few months ago, and now, the company has announced that it will be able to directly integrate with OneDrive soon too.

This integration is a major step towards cloud printing. Essentially, users can print their documents directly from OneDrive without having to download them or asking IT admins to install printer drivers on their organization-managed device.

Microsoft says that the capability will be rolling out to organizations this week. The printing experience is common across all devices and browsers. Supported file types at this time are PDF, XPS, Word, Excel, and PowerPoint. The company has recommended that people raise feature requests if they want more file types to be supported or want more capabilities in general too.
