Google is rebranding G Suite, its set of online productivity and collaboration tools for businesses that include the likes of Gmail, Drive, Docs and Meet. The new name is Google Workspace, a name the company already hinted at when it first introduced a set of new collaboration tools and Google Meet integrations for the service earlier this year.

G Suite, as the brand for Google’s paid offering, originally launched in 2016. In a press briefing ahead of today’s announcement, Google’s Javier Soltero, the company’s VP and GM for what is now Google Workspace, noted that the company wanted to ensure that the service that people use is the same thing that people buy.

“These products are flagship products for Google itself — and the ability to actually describe the product in the same way, whether it’s to a buyer or to a user.” Google, he added, wants its customers to see Workspace as a product that brings together all the tools they need to get their work done.

Pricing will mostly remain the same, though the naming is changing here a bit, too. The cheapest plan, Business Starter, starts at $6/month and users who need more storage and support for larger meetings can opt for the Business Standard plan for $12/user/month. What’s new is the $18/user/month Business Plus plan that includes additional security features and compliance tools like Vault and mobile device management capabilities.

Google Workspace is replacing G Suite, and anyone interested in the new features can sign up or switch over to the service right now (unless they're managing an Education or Non-profit organization). But if you're one of the many people relying on G Suite's $12/month unlimited storage "hack," you might be better off sticking to your current G Suite plan — if you want unlimited storage on the new Workspace tiers, it will cost you at least $20 a month.

There's a hard limit of 2TB for individual Business users and 5TB per person on the new Business Plus plan. It's still plenty for most people, but at some point, you'll run into limitations.
However, once you subscribe to one of the three new Workspace tiers, you're able to switch to the Enterprise tier (you don't need to contact sales, even though Google states as much on its pricing page). It'll cost you $20 a month (or $30 in the case of Enterprise Plus) and will provide "as much storage as you need.

If you're on one of the old unlimited plans, you'll be able to enjoy the cheaper price for a while going forward, but as a Google email to existing G Suite customers suggests, you'll have to transition eventually.

The article previously stated that unlimited Drive plans were going away with Workspace altogether. We've updated it to add that it's possible to retain unlimited Drive storage when you sign up for the more expensive Enterprise or Enterprise Plus plans.

We've also updated the article with new information regarding the transition from G Suite to Google Workspace. It looks like G Suite subscribers won't be grandfathered in, they'll have to transition at some point.

Google Cloud’s rebranding of G Suite as Google Workspace, announced last week, comes with new security and privacy updates to help prevent malicious behavior and protect organizations’ data while using its productivity and collaboration tools.

The new security features for Workspace, which includes Gmail and the Google Calendar, Meet, Chat, Drive, Docs, Sheets, Slides, Forms and Sites tools, are designed to facilitate safe communication and give systems administrators more visibility and control, according to Karthik Lakshminarayanan, Google Workspace’s director of product management.

West Virginia Gov. Jim Justice on Thursday announced that the state’s executive branch agencies will start using Google’s suite of cloud-based productivity and collaboration applications as their main business software.

The migration, which is part of a multi-year agreement between the state and Google, is expected to affect about 22,000 employees. Justice’s office also said the move will save the state government about $11.5 million.

“This collaboration – West Virginia and Google – is truly going to allow us to serve the people of this state better than ever, and the people should be proud of the fact that we got a great deal and will be saving millions and millions of dollars in the process,” Justice said in a press release.

Google Workspace — and the integrated Gmail experience — is already available for enterprise customers. As part of that launch, Google is adding a new level of Workspace “Enhanced Support” that slots in-between the “Standard” and “Premium” offerings.

Designed for customers who need fast, advanced, and complete support, it offers accelerated response times, advanced product knowledge and Third-Party Technology Support.
Google touts 24/7 support that provides a “meaningful response within one hour” for Priority 1 cases, while P2 is quoted at four hours. “Intelligent triaging” works to make sure cases are routed to the appropriate “technical experts.” The last benefit is help with third-party integrations, including application set-up, configuration, and troubleshooting.

Google still offers Premium Support with 15-minute response times for P1 cases, a named Technical Account Manager, and additional capabilities, like training and new product previews. These two higher-end tiers are also getting a support API next year to “create and manage support cases on a single platform.”

Google has announced changes to the way it deals with Microsoft Office-formatted documents within the newly-rebranded Google Workspace. Until now, opening a .docx, .xlsx, or .pptx file would have brought up a preview of the contents within Chrome, with a dropdown to select what web app you want to open it with.
That’s all changed, as Google announced yesterday that from now on, the behavior will be to open the relevant Google Workplace app (Docs, for example) immediately, doing away with the decision tree altogether.

Users will be able to manually override this behavior by pressing the ‘P’ button as they click on the file, or selecting ‘Preview’ from the right-click context menu. Whilst that’s an extra keystroke when you need to use something like DocuSign, it’s a keystroke removed for the 85% of the time you just want to get on with editing — so overall, you should have a reduced aggregate click-rate.

If users have the “Office Editing for Docs, Sheets & Slides” extension (erstwhile, Quickoffice), then that will be the default app. Otherwise, either Docs, Sheets, or Presentations will open. Password-protected files will still open in Preview.
The release blog post notes that there is no option for sysadmins to disable this behavior and that end-users should be taught the alternatives.

They’re part of what Google is calling the “smart canvas,” a new initiative that promises to increase the cadence of product improvements for Workspace.

The idea behind the smart canvas is similar to workplace productivity suite dreams that reach as far back as OpenDoc in the ’90s: having smaller bits of information like charts, text, and images become more modular and interconnected. It’s not dissimilar to Microsoft’s Fluid Office document project, which launched last year.

New Identity Verification Feature Boosts Google Workspace Protections

Formerly called G Suite, Google Workspace provides enterprise users with secure collaboration and productivity tools.

With the new feature in place, Google will evaluate a user’s current session and present them with a ‘verify-it's-you’ prompt if the session is deemed risky.
According to Google, the capability will prevent an attacker who has gained access to an account from making any changes that could impact the account owner and the organization the account belongs to.

“Through a second and trusted factor, such as a 2-step verification code, users can confirm the validity of the action,” Google notes.

Thus, if a threat actor has gained access to an account, their actions will be blocked until the account owner can verify that any attempted changes are intentional.

“This added layer of security helps to intercept bad actors who have gained access to a user's account, further protecting their data and your organization's sensitive information. Google has some good news for folks who are on the Workspace individual plan. Those who use the service, such as self-employed people and entrepreneurs, will soon get a significant storage upgrade from 15GB to 1TB at no extra cost. Most Workspace individual users won't need to worry about running out of storage space in Gmail and Drive anymore.

Elsewhere, there are more options for those who send emails to multiple people through the multi-send mode. You'll be able to use mail merge tags, such as @firstname, to personalize these email blasts. That may be useful, even if the Workspace individual plan doesn't support custom email addresses as yet.

Google isn’t moving Legacy G Suite users again, despite admin console warnings

Grandfathered-in "Legacy G Suite" users got a scare recently when another new "transition" message started popping up in the Google Admin console.

"The transition to Google Workspace has started," said the new message that suddenly appeared in people's accounts.
This was after Legacy G Suite users went through a contentious transition last year, where Google's opening position involved shutting down their accounts if people didn't start paying, but eventually, it was talked into not doing that. A Google spokesperson tells us the Workspace transition message was "a bug that surfaced an old banner from earlier in the process last year, and our team is working on removing it. More changes are not happening at this time, and those who previously opted-in for personal use are not expected to take any further action."

We've received a few questions about this message, and this Reddit post has people wondering what the deal is, but it's just a bug. That's great because Legacy G Suite users have gone through enough already.

To recap, Google currently offers businesses the option to pay a monthly fee for a Google/Gmail account that ends in a custom domain name instead of @gmail.com. Today this is called "Google Workspace," but due to Google's constant rebrands, it was first called "Google Apps for your Domain," then "Google Apps," and then "G Suite."

Legacy G Suite users are specifically not a part of "Workspace," which is a paid service. So this new message that popped up yesterday suggests they would have moved to another new service. Even though Google says it's an error that users could see this message, actually following the prompt would lead you to another error message about "Google Workspace for personal use" which is a product that does not exist.
